Part-time Receptionist/Office Assistant

We are looking for a part-time on-site Receptionist/Office Assistant to join our team!

About us

We are a small team of passionate pelvic health and orthopedic manual physiotherapists. We have been well established in the Ottawa community since 2011 and we are continuing to grow!

Our focus is to understand the root cause of our patients’ symptoms and the key contributing factors, to treat the source of the problem rather than the symptoms, and to prevent reoccurrence.

Our goal is to give clients the tools they need through hands-on treatment, exercise and education, to understand their condition, and to empower our patients to lead healthy, active lives.

Our approach is integrated, holistic, trauma-informed, and individualized. We strive to understand and integrate the relationships between the musculoskeletal, myofascial, pelvic health, visceral and nervous systems with our patients’ goals at the heart of our treatments.

We are located in the heart of Westboro and our clinic space is calm and beautiful, with hardwood floors and natural light, and all of our treatment rooms are private.

Key Responsibilities:

  • Deliver exceptional, accurate and prompt service to our patients, staff and visitors to our clinic
  • Greet patients
  • Monitor and respond to incoming emails, phone calls and inquiries, screen service needs and respond to inquiries to provide information about our programs, and communicate with providers to help address medical questions
  • Assist in booking patient appointments using Jane software
  • Manage daily schedule to ensure appointments are appropriately scheduled and confirmed, intake forms are completed, and fill in cancellations and no-shows
  • Manage patient billing, including receiving payments, issuing invoices and receipts, responding to patient inquiries related to billing, and following up on overdue accounts
  • Maintain and update patient records, ensuring accuracy and confidentiality of sensitive information
  • Create a bright, sunny, friendly atmosphere in the clinic
  • Assist in keeping the clinic tidy and organized
  • Additional duties such as ordering supplies, organizing meetings and inservices, assisting with marketing, social media, treatment follow-up, outreach and discharge reports
  • Maintain various tracking sheets related to patient care and clinic administration
  • Assist in reprocessing pessaries off-site and dropping off and picking up at nearby medical clinic

Qualifications:

  • Ability to communicate professionally, with maturity, kindness and empathy, with patients and team
  • Excellent writing skills with respect to professionalism, spelling, grammar, and clarity
  • Excellent organizational skills and able to multitask effectively
  • Excellent attention to detail when taking down patient information and scheduling appointments, and relaying patient details to team
  • Ability to maintain patient privacy and confidentiality
  • Minimum of 1 year of experience as a receptionist/administrative support required
  • Knowledge of medical terminology and/or strong interest in learning
  • Strong teamwork skills and ability to collaborate with therapists whenever needed
  • Computer skills such as Jane App, Google Drive, Microsoft Office (Word and Excel), online Fax, Instagram and Facebook, etc.

 Assets:

  • Medical receptionist training or past administrative experience working in a physiotherapy clinic
  • Bilingual (Proficient in spoken and written French and English) 

Flexible hours:

  • Approximately 15-20 hours per week to start (daytime and evenings)

Physical Demands:

Ability to navigate the staircase to enter the clinic
